1. Can I participate in a telephone conference with any telephone?
A simple telephone which means today's general standards is sufficient for our conference application. Conferences can be conducted via a land line or mobile phone. The participant must have a touch tone telephone (DMTF) to log in via a PIN.
2. How can I be sure that no unauthorised participants are listening to my conference call?
DialogVox creates individual 7-figure PINs for every conference to ensure the highest possible security. Every PIN is only granted once by the system and is sent by e-mail to the participant once planning is completed.
The web management tool displays all the PINs to ensure convenient management.
3. How many participants can I invite to a conference call?
Up to 60 people can participate in a conference call. We can increase the number of participants if required.
4. Can the conference application be accessed from any country?
We work with land line dial-in numbers. So accessing the conference is no problem for all participants who can dial a German land line from their location.
5. How quickly can I start a conference?
If you do not require an interpreter for your conference, it can commence immediately after registration and completion of planning. If you require an interpreter, we require 24 hours notice to provide the service.
6. Do I have to register to start a teleconference?
Yes, but registration is free and without obligation. You receive immediate access to web management and the numerous features without being tied to a contract or being subject to financial risk. You will only be charged for bookings once you complete the planning for a conference. And even then you only pay for the services you actually use in accordance with our price list.
7. Is it free to register on the portal?
Yes, registration is free-of-charge and there is no obligation. By registering you create your personal account which you can use for free to set up conferences and contacts. We activate your customer account as soon as we have checked your personal data so that you can put planned conferences into action. You only make a booking for which you will be charged later when you complete your conference plan and confirm our Terms & Conditions
8. Can I book a telephone conference without an interpreter?
Yes, select the option "New telephone conference" after you log in.
9. What kind of interpreter is suitable for my call?
It depends on your type of conversation:
If you want to have a short conversation with just one person, e.g. to book a hotel, agree on delivery terms or arrange an appointment, you need a consecutive interpreter. In this case, please set up a negotiation conference.
For long and complicated topics such as training courses and presentations, which are aimed at a larger number of people in more than two languages, what is said needs to be conveyed as fast as possible. These requirements are best met by a simultaneous interpreter. In this case, please set up a simultaneous conference.
10. How are conferences charged?
Every month you will receive an invoice giving to-the-minute details of the conferences you have held. As soon as you have finished a conference the gross price will appear in your account so you can monitor the costs. The individual rates can be found in our price list.
11. Is there an option to pass on the charges to the individual participants?
As the registered conference leader you are our customer and therefore receive our monthly invoice. However, you can take the costs for each participant from the invoice and pass them on.
12. Will the conferences increase my normal telephone bill?
We use a fee-based 0180 dial-in number.
As you dial in to our service from a German land line, the normal conditions for calling a German land line apply for you and your participants. If you have a flatrate, there will be no connection charges. We also provide international dial-in numbers upon request.
13. What changes to the conference can be implemented after planning has been completed?
Once planning has been completed you can still add conference participants. However, the start time can no longer be changed. If your conference has to be postponed or brought forward, please cancel the conference by clicking on "End conference" and set up a new conference with the modified data. This is free-of-charge unless we have confirmed an interpreter. If we have already booked the interpreter and this is indicated by a green tick in the web management tool, cancellation fees equivalent to 10 minutes of interpreting will be applied.
14. Is it possible to cancel conferences once they have been planned?
A telephone conference without an interpreter can be cancelled at any time by clicking on "End". You will then not be charged. Even if you have reserved a telephone interpreter, but we have not yet confirmed it, you can cancel the conference free-of-charge. Cancellation costs equivalent to the fee for 10 minutes of interpreting only apply once the telephone interpreter has been confirmed. The reservation is indicated by a green tick in the web management tool.
15. Can I book a telephone interpreter directly without creating a telephone conference?

16. Definition of terms
Dial-in
In a Dial-in conference, the participants dial in to the conference themselves at the appointed time with the aid of their individual PIN. This is the basic setting for all conferences.
Dial-out
In Dial-out conferences, DialogVox calls the participants and they take part in the conference call without the need to dial in themselves. Dial-out is often used for individual participants who have not accepted the invitation in time or who should be added to the conference at the last minute. The Dial-out option for individual participants can be activated for all conferences if required.
Consecutive interpreting
Alternates with the speaker The interpreter conveys what is said to the participants in short bursts and passes their answer on to you. This type of interpreting is suitable for e.g. telephone calls with authorities, arranging appointments or price negotiations.
Simultaneous interpreting
In simultaneous interpreting, the interpreter conveys what is said almost immediately. You can allocate an interpreter to selected conference participants. The interpreter then translates the conversation simultaneously only for these people. The respective participant hears the actual conference quietly in the background and can take part in it by communicating via the interpreter. Simultaneous interpreting is used for longer content such as training courses and presentations which must be communicated to a large number of people in more than two languages.
